Summary: The “Office Manager” will assist our Specialty Services division with multiple project assignments needed to maintain efficiency within the office environment.  The day-to-day tasks will include full administration of the accounts payables department inclusive of full office administrative support.  Listed below is a general outline of the position’s requirements.

 

Duties and Responsibilities

Office Support –

  • Administrative support assistance to senior level management
  • Ordering project requirements i.e., COI’s and bonds
  • Coordinate meeting and conferences
  • Manage outgoing/incoming mail
  • Answer and redirect incoming calls
  • Office Supply order management
  • Facility vendor management, i.e., cleaning company, pest control, office equipment repair contractors
  • Assist executives with scheduling and travel needs
  • Holiday event coordinating

 

Accounting Functions

  • Manage full cycle accounts payable functions
    • Invoice entry
    • Payment processing
    • Vendor account management
    • Statement review
    • Vendor account management
    • Audit compliance

 

Union Benefit Reporting

  • Weekly/monthly union benefit hour reporting
  • Union payment processing
  • Audit compliance

 

Qualifications

 

  • Bachelor’s Degree
  • Proven work experience in a similar role
  • Proficiency in Microsoft Office Products, Outlook, Excel
  • Vista Viewpoint, experience preferred
  • Ability to maintain a high level of confidentiality
  • Solid written and verbal communication skills
  • Ability to exercise critical-thinking methods to identify and solve problems.
  • Be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Friendly team player attitude
  • Excellent communication and customer service skills

Experience with Multi-State Union payroll processing (strongly preferred)
